Privacy Policy
This Privacy Policy explains how Tamilcube (“Tamilcube”, “we”, “us”, or “our”) collects, uses, discloses, and protects your personal data when you interact with the Tamilcube Certified Tutor (TCT) Programme at tutor.tamilcube.com. We comply with Singapore’s Personal Data Protection Act 2012 (PDPA).
1. Who we are
Tamilcube operates the TCT Programme from Singapore. We are the
data controller for personal data collected through
tutor.tamilcube.com and its associated forms.

2. What personal data we collect
We collect personal data that you provide directly to us when you:
- Apply for the TCT Programme via our application form — including your full name, NRIC/FIN last 4 characters, date of birth, gender, email address, Singapore mobile number, residential postal code, education, Tamil qualifications, MOE registration status, Tamil proficiency self-rating, tutoring experience, MOE levels taught and intended, training and start-time preferences, and any background notes you choose to share.
- Contact us via the contact form, email, or phone — your name, email, phone (if provided), application reference (if any), and the content of your message.
- Browse our website — limited technical data such as IP address, browser type, referring page, and pages visited (see Cookies and analytics).
We do not collect your full NRIC/FIN number. The last 4 characters are used only for identity verification at later stages and are not used for any other purpose.
3. How we use your personal data
We use your personal data only for the purposes you have consented to:
- To process and review your TCT Programme application (Stage 2 Eligibility Review).
- To communicate with you about your application status, training, assessment, and certification.
- To issue, manage, and verify your TCT credential.
- To respond to enquiries you send via our contact channels.
- To comply with our legal and regulatory obligations in Singapore.
- With your separate, optional consent — to send you TCT programme updates and Tamilcube resources. You can withdraw this consent at any time.
We do not sell your personal data, and we do not use it for automated decision-making with legal or similarly significant effects.
4. Our legal basis for processing
Under the PDPA, we process your personal data on the basis of:
- Your consent, given when you submit the application or contact form.
- Performance of a programme you have applied to enrol in (where processing is necessary to evaluate, train, assess, and certify you).
- Our legitimate interests in running, securing, and improving the TCT Programme, balanced against your privacy rights.
- Legal obligations we must comply with.
5. When we share your data
We disclose your personal data only when necessary, and only to recipients bound by appropriate confidentiality and data protection obligations. Recipients may include:
- Internal Tamilcube staff involved in TCT operations, review, training, and assessment.
- Tamilcube Academy (academy.tamilcube.com) when you are enrolled in the pre-requisite course.
- Third-party service providers that help us run the programme — including our website hosting provider, email delivery service, form-submission storage, and analytics provider — under written data processing terms.
- Regulators, courts, or law-enforcement authorities where required by Singapore law.
Some of our service providers may process data outside Singapore. Where this happens, we take reasonable steps to ensure protection comparable to the PDPA’s standards.
6. How long we keep your data
- Application data of certified tutors — for the duration of your certification and for a period of 7 years after the certificate expires or is revoked, for audit and regulatory purposes.
- Application data of unsuccessful applicants — for 12 months after the outcome is communicated to you, unless you ask us to delete it earlier.
- Contact-form enquiries — for 24 months after our last correspondence.
- Website technical logs — for up to 13 months.
After these periods, we securely delete or anonymise the data unless we are legally required to retain it longer.
7. How we protect your data
We implement reasonable administrative, technical, and physical safeguards to protect your personal data — including encrypted transmission (HTTPS), access controls for Tamilcube staff, secure storage, and regular review of our processors’ security practices. No system can be fully secure; if you believe your data may be at risk, contact our DPO immediately (see Section 12).
8. Your rights under the PDPA
You have the right to:
- Access the personal data we hold about you, and request information about how it has been used or disclosed in the past 12 months.
- Correct personal data that is inaccurate or incomplete.
- Withdraw your consent to our use of your personal data. Withdrawal may prevent us from continuing to process your TCT application or providing certain services.
- Request deletion of personal data we no longer need to retain.
To exercise any of these rights, contact our DPO using the details in Section 12. We will respond within a reasonable time, and at most within 30 days of receiving a valid request. We may charge a reasonable fee for access requests, as permitted by the PDPA.
9. Cookies and analytics
Our website uses cookies and similar technologies to keep the site working, remember preferences, and understand how visitors use the site. We may use third-party analytics providers (such as Google Analytics) to collect aggregated, pseudonymised usage data.
You can configure your browser to block or delete cookies — note that this may affect site functionality.
10. Minors
The TCT Programme is intended for adults (aged 18 and above) who are applying to be Tamil tutors in Singapore. We do not knowingly collect personal data from individuals under 18. If you believe a minor has submitted personal data to us, please contact our DPO so we can delete it.
11. Changes to this policy
We may update this Privacy Policy from time to time. The “Last updated” date at the top reflects the most recent change. For material changes, we will notify affected applicants and certified tutors by email at the address you have provided. Continued use of the site after a change indicates acceptance of the updated policy.
